  • Monday-Thursday: 8:30 AM-5:00 PM (45-minute unpaid lunch)

  • Saturday: 8:30 AM-1:30 PM

Starting Wage: Starting at $26/hour, DOE

About the Position

We are looking for an organized, compassionate, and highly motivated Medical Administrative Coordinator to join our administrative team.

This role is much more than a traditional front desk position. Our Medical Administrative Coordinators serve as the hub of clinic operations by supporting patient communication, scheduling, insurance eligibility, billing workflows, medical records, supplement sales, and day-to-day administrative processes.

The ideal candidate brings strong organizational skills, professionalism, and a commitment to excellent patient service. They are comfortable learning new systems, adapting to evolving priorities, and contributing to a collaborative healthcare environment.

While prior administrative or healthcare experience is valuable, we recognize that every clinic operates differently. We provide training on our specific workflows, technology, and processes, and are looking for someone who brings both a strong professional foundation and the curiosity and flexibility to continue learning.

What You'll Do

Responsibilities include, but are not limited to:

  • Welcome and support patients throughout their clinic experience

  • Learn and manage scheduling workflows, appointment coordination, and patient communication processes

  • Collect payments, process insurance information, and assist with billing workflows

  • Support medical records, referrals, faxes, and provider communications

  • Verify and maintain accurate patient demographic and insurance information

  • Coordinate patient questionnaires and intake documentation

  • Assist with supplement sales and inventory-related tasks

  • Maintain accurate electronic medical records

  • Collaborate closely with providers and medical assistants

  • Support daily clinic operations and administrative projects

  • Help maintain a clean, organized, and welcoming clinic environment

This position requires flexibility, initiative, attention to detail, and the ability to prioritize competing needs in a fast-paced healthcare setting.

Preferred Qualifications

  • High school diploma or equivalent

  • Administrative, medical office, customer service, or healthcare experience preferred

  • Experience working with electronic health records, scheduling systems, insurance processes, or healthcare administration is a plus

  • Familiarity with medical terminology is helpful but not required

  • Interest in integrative or naturopathic medicine is a plus

  • Strong computer skills and ability to learn multiple software systems

  • Excellent written and verbal communication skills
